At Gorst and Compass, we are concerned about our environment and the wasteful use of resources. In that light, we went "paperless" several years ago by implementing the use of a paperless agency management system to maintain policy files and related correspondence. No more paper files in our office! Our communications for the most part are via email. In addition, this year we implemented an electronic delivery system designed to streamline the process of getting copies of policy(s) and endorsements to the agents we work with faster, more efficiently and in a totally secure and GREEN manner. We use an FTP (File Transfer Protocol) system. This system electronically sends notification of documents ready to download to one email address designated by the agent. We provide the agent with a log in and password for security. When the email notification is received by the agent, they click on the link in the email which takes them directly to the FTP software in our server. A list of the documents ready for download appears listing the named insured and policy number. The documents are then ready for download by the agent who can distribute as they need. The documents will remain on the site for future need, should an insured call and need another copy of the policy sent to them. These documents are compressed to 5 MB or less to assist the agency in ease of receipt, download and transmission to insureds, lenders and additional insureds.
